Environmental Bodies (EBs) enrolled in the Landfill Communities Fund (LCF) with ENTRUST, have a statutory responsibility, as part of their enrolment to ensure that the records of the EB Governing Members (for example, Trustees and Directors), and the EB Governing Documents are kept up to date on ENTRUST Online (EOL).
EBs should regularly check their details by:
- Logging in to EOL and going to the 'Your Details' section to check the Governing Member details (in the Directors and Contacts tab). The main contact of the EB can amend the Governing Member details themselves. For more details on how to do this, please read the guide on the right hand side of this page; and
- If the EB has updated its Governing Documents (i.e. the constitution) and not told ENTRUST, this should be emailed to ENTRUST at helpline@entrust.org.uk
EBs should also check that both the registered address and the contact address for the EB remain up to date. The registered address and contact address on record can be found on EOL in the 'Basic Details' tab. EBs can amend the contact address on EOL but cannot amend the registered address themselves. Where the registered address is found to be incorrect the EB should email our Helpline with the EB's new registered address.
In addition to the EB's responsibility under the Landfill Tax Regulations 1996 (Regulations) to keep Governing Member and Governing Document details up to date, we would remind EBs that they also have a responsibility under the Data Protection Act 2019 (DPA 2018) and General Data Protection Regulation (GDPR) to correctly maintain the contact records for the EB on EOL. Please ensure that you regularly check the contact details and remove contacts that no longer work, volunteer or are involved with your organisation. This will then ensure that their details are removed from our systems under ENTRUST's privacy policy. You can read more about data protection in the Privacy section of our website.
We have recently communicated with the main contact of all enrolled EBs to remind them of these responsibilities and to encourage them to check their EB details.
